Terms and Conditions

Welcome to Arrow Pilates! We want your experience to be enjoyable, safe, and effective. Please take a few minutes to read our membership terms – they’re here to help you make the most of your practice.

 

Our Philosophy

 

We encourage all our clients to honour their own bodies and progress at their own pace. Every body is unique, so focus on your breath, your movement, and your personal growth. Be kind to yourself, respect others, and enjoy your Pilates journey.

 

 

​Memberships

 

All memberships are on a rolling 12 week contract. Which means your membership will auto renew for another 12 week contract after the first 12 week contract ends. This auto renew cycle will continue unless you notify us that you wish to cancel. A 30 day notice is required to cancel your membership. This notice needs to be given at least 30 days before the contract renews.

Memberships are personal and can't be transferred, swapped or shared.

 

 

Classes & Booking

  • Memberships and class bookings are available to clients aged 16 and above.
     

  • All classes are 50 minutes long, with a maximum of 5 participants per session.
     

  • Classes must be booked online or via the app and can be reserved up to 1 week in advance.

     

  • Drop-in sessions are valid for 1 week from the date of purchase.
     

  • If you are on a waiting list, and a spot opens, you will receive an email notification giving you the opportunity to book in. Please ensure you can attend, or cancel at least 24 hours in advance.

 

Please arrive on time. Pilates is a method that relies on breath awareness, warm-up, and muscle activation. Late arrivals may not be allowed to join the class, at the instructor’s discretion, to keep everyone safe and ensure a high-quality practice.

 

 

Cancellations, Refunds & Missed Classes

  • Please give at least 24 hours’ notice if you need to cancel a class.
     

     

  • Classes cancelled in time will not be deducted from your membership.

  • Classes not attended within the 4-week cycle will be lost – we do not roll over unused sessions.
     

     

  • Refunds are not available, so please plan your practice carefully.
     

     

  • Late arrivals (5+ minutes) may be denied entry, at the instructor’s discretion.
     

     

  • 3 consecutive missed classes without notification may result in your account being temporarily blocked; you’ll need to contact us to remove the block.

     

Freezing Memberships

1. Eligibility

 

Membership freezes are available to active monthly members only. Class packs, intro offers, and drop-in sessions are not eligible. Membership accounts must be fully up to date with payments.

 

2. Permitted Reasons

 

Memberships may be frozen for the following reasons:

  • Medical injury or illness

  • Pregnancy

  • Temporary work travel or work relocation

 

Arrow Pilates reserves the right to request supporting evidence for medical-related freezes.

 

3. Freeze Duration

  • Minimum freeze period: 7 days

  • Maximum freeze allowance: 4 weeks per membership year

  • Medical-related freezes may be extended at the studio’s discretion.

 

4. Notice Requirement

 

Freeze requests must be submitted at least 7 days before the next billing date.

Freezes cannot be applied retrospectively.

 

5. Fees

 

Members are entitled to one complimentary freeze per membership year.

Any additional freezes will incur an administrative fee of £3.

 

6. Billing & Membership Term

  • No classes may be attended during a freeze period.

  • Membership billing is paused for the duration of the freeze.

  • The membership will automatically resume on the agreed restart date.

  • Freeze periods extend the membership term but do not reset any minimum commitment period.

 

7. Bookings During Freeze

 

All future bookings that fall within the freeze period will be automatically cancelled. Missed classes during a freeze are not transferable or carried forward.

 

8. Freeze vs Cancellation

 

Freezing a membership cannot be used to bypass notice periods or minimum contract terms required for cancellation.

 

9. Request Process

 

All freeze requests must be submitted in writing (email or via the booking system). The freeze is not valid until confirmed by Arrow Pilates.

 

10. Policy Misuse

 

Arrow Pilates reserves the right to refuse freeze requests if the policy is repeatedly misused or applied inconsistently with its intended purpose.

 

Health & Safety

  • Always follow instructor guidance and use equipment safely.
     

     

  • Participation is at your own risk, as outlined in the Reformer Pilates Waiver.
     

     

  • Comfortable, form-fitting clothing is recommended. Loose clothing can interfere with movement and make it difficult for instructors to guide you.
     

     

  • Shoes are not permitted on the beds; anti-slip socks must be worn.

     

 

Termination of Membership

 

In order to cancel your membership please notify us, by email, at least 30 days before your next contract renewal. 

 

We reserve the right to terminate memberships if a member:

  • Misses a payment

  • Mistreats staff, equipment, or studio facilities

     

 

 

Privacy & Communication

  • Your personal data is stored and processed in line with UK GDPR.
     

     

  • We may contact you for membership management, class updates, or studio communications.
     

     

  • Photography or video will only be taken with your consent.
